The short version
- Every agency has its own separate workspace and database. No other agency can see it.
- We never sell your data or use it for advertising.
- Your files, payments and connected tools stay in your own accounts.
- This website uses no tracking or advertising cookies.
- You can download everything at any time, and when you leave we delete it within 30 days.
This website
If you join the early-access list or email us, we keep what you send (your name, email, agency name, team size, and anything else you choose to tell us) so we can reply and invite you to Crewqo. We do not use it for anything else and you can ask us to delete it at any time.
The website does not use analytics, tracking or advertising cookies. Our web host keeps standard server logs (such as IP address and pages requested) for security. Fonts are loaded from Google Fonts, which receives your IP address when the page loads.
What the service stores
Workspace data you and your team add: clients, projects, tasks, messages, invoices, attendance, salaries and similar records. We store it only to provide the service to you.
Account details: names, work emails, usernames and a securely hashed password (we never store passwords in readable form). Keys you add for connected tools are stored encrypted.
Technical records needed to keep the service secure: sign-in times, device and browser, and approximate location from the IP address, which workspace owners can see under Sessions.
What we do not store
Your files live in the storage you connect, such as Google Drive, OneDrive, Dropbox, an S3-compatible bucket or your own server. Workspace backups are encrypted; when you turn on your own backup key, we cannot open them. AI requests go to the AI provider you choose, using your own key. Card and bank details for your Crewqo subscription are handled by Polar, our merchant of record, and never reach us; payments from your own clients go through your own payment provider.
Who can see your data
People in your workspace, according to the access your workspace owner gives them. We do not look at workspace contents, except when you ask us to help (for example to restore a backup) or when the law requires it.
Service providers
We use a small number of providers to run Crewqo and this website. They process data only on our instructions and only for these purposes:
- Polar: payments, billing, invoices and tax for Crewqo subscriptions (merchant of record).
- Our hosting providers: running the Crewqo service and this website.
- An email-delivery service: account emails such as sign-in codes and invitations.
- Google Fonts: typefaces on this website.
Keeping it safe
Workspaces are separated by design, connections use encryption, passwords are hashed and keys for connected tools are encrypted. Everything in a workspace is backed up every day and backups are kept for 30 days.
How long we keep it
While your workspace is active we keep your data so you can use it. After you cancel, we delete the workspace and its backups within 30 days. Early-access details are kept until you ask us to remove them or until we no longer need them to invite you.
Your rights
You can see, correct, download or delete your data at any time from inside Crewqo, or by writing to privacy@crewqo.com. If you are a member of someone else’s workspace, contact that workspace’s owner first; they control that data. Depending on where you live, you may also have the right to complain to your data protection authority.
